DM/LIB Demo

Description: DM/Librarian is a low-end drawing management software
package.
DM/Librarian is a drawing management package for small LAN-based
systems (fewer than 20 PCs and/or Intergraph workstations) using
MicroStation or MicroStation Review. DM/Librarian is simple to
administer and use, inexpensive, and provides migration to larger
file management systems like I/NFM. DM/Librarian manages MicroStation,
raster, hybrid raster/vector including associated reference files,
and AutoCad files including associated cross-reference files.
All file types acceptable to MicroStation and I/RAS as reference
files are acceptable to DM/Librarian.
Drawings can be stored in any of the mass storage areas available
on the network designated as DM/Librarian storage areas. One
shared file system on the network is designated as the repository
where all the data about the drawings is stored. All drawing
activity is recorded in the central repository.
DM/Librarian requires no separate database license but is compatible
with many PC-based databases such as dBase, FoxPro, and Rbase
because it stores all of its repository information using the
Xbase .dbf file structure. This enables PCs with Xbase databases
to access DM/Librarian files and generate reports on the information
stored in DM/Librarian.
Quick access to drawings
Attributes associated with each drawing help to find and manage
drawings. The attributes include:
o Folder
o Drawing name
o Drawing sheet
o Description

Finding drawings is easy with DM/Librarian, even with partial
drawing attributes. Sort and filter functions provide the user
with a list of all drawings in a folder that meet the specified
attribute criteria. For example, the user can select a drawing
from a list of all drawings created by a particular person or
from a list of all drawings that begin with the letters "st."
Logical operators (equal to, not equal, greater than, and less
than) let the user expand or narrow the search as required.
Reports
Standard report templates provide useful information about the
drawing environment. The reports include:
o Drawings currently checked out
o All activity (check-in, check-out, and approvals) since a
specified date
o All drawings in each approval state
o All drawings rejected for approval within a specified time
period.
Change control
Provides a simple revision control mechanism with four transition
states:
o Modification/progress
o Approval requested
o Approval by engineering requested
o Released
The names of the first three states are user-definable.
Network protocol
DM/Librarian is independent of network protocol and requires no
product-specific administration after installation.
PC-only environments can use any network operating system (NOS)
providing logical drive capabilities such as Novell Netware.
Intergraph workstation-only environments require an NFS-compatible
NOS.
A mixed environment of PCs and Intergraph workstations requires
an NFS-compatible network such as PC/TCP or PC/NFS. A mixed environment
can also use Netware if Intergraph Netware is available on a server.
Flexible migration to and from DM/Librarian
An export function moves drawings and folders from DM/Librarian
to I/NFM, giving DM/Librarian the ability to act as an entry-level
solution to a higher level file management system.
A bulk loading function brings existing drawings into DM/Librarian,
incorporating the existing directory structure into the managed
environment.

Installation Help

The DM/Librarian Demo installs on the drive and directory of
your choice. The metadata where all drawing information is stored
is delivered with this Demo version.
The metadata will be placed in the c:\dml\meta directory unless
the base product directory was specified to be a different place
earlier.
If it is desired to place meta data on a machine which will not be
set-up with the entire runtime product, then the contents of the
c:\dml\meta directory will need to be moved to the destination dir.

CONFIGURING:
1. Metadata directory
This field is the full path to the directory where the existing
metadata resides. If you would like metadata to be located on
a different drive, it will be necessary to move all files from
the c:\dml\meta directory to the destination metadata directory.
2. Node name field
This field is a required field, which records an informational
node name for reference in metadata. This node name should correspond
to the actual node name, but there is no mechanism to verify this in
DM/Lib.
3. Storage areas
If your files are in an existing directory tree structure, then you
should create storage areas at the top level directory of logical
groups of files. DM/Lib requires only one storage area before the
user may enter the dialog portion of the product. It is recommended
that you create most existing directory structure storage areas by
using the utility bulkload with "in-place" option to create a
storage area and enter existing files into metadata. If your files
exist in a location other than a planned storage area, then you will
need to create a storage area using the configure utility before
adding drawings.

LOADING DRAWINGS:
1. New drawing
To enter single files into DM/Lib, the Drawing New command allows
you to add an entry to an existing storage area.
2. Bulk loading
Move:
This utility allows you to enter multiple files into an
existing storage area.
In-place:
This utility allows you to enter multiple files into DM/Lib
and simultaneously creates a storage area at the top-level
directory.
SECURITY:
This product does not use classes of logins or privileged logins
as access control. Therefore, security is dependent solely on
in-house practices. The audit trail is available for activity
only and does not absolutely specify user or node name.
STATES:
There are four edit-able states that are hard coded in DM/Lib.
The names of these states can be edited in the configure utility.
The functionality of these states is predefined as follows:
State 1: Read and write access
States 2-4: Read only access
FILTERS:
The resulting display in the main DM/Lib dialog for drawings is
affected by the filter command according to the filter value. Be
careful not to forget that a filter is active. NOTE: To filter
checked-out or check-in drawings using the Status filter, set the
filter equal to I (checked-in) or O (checked-out).
GENERAL:
1. Preferences
The Options settings in the Preferences section are set to OFF
by default on entering the product. This means that there will be
no confirmation to commands, no reference files will be copied out
on check-out, and the dialog will not refresh automatically. Changes
to these settings will be saved session-to-session.
2. Storage.dml files
Do not delete storage.dml files, which define storage areas. This
is a read-only file for DM/Lib use and is critical.
3. Removal
Before reloading the product, it is recommended that you delete
the existing dir and files. Cleanup on install will delete all
existing metadata and files and directories.
4. Backup
Copies of the metadata directory can be made and used as backups
to the current metadata.

DML CLEANUP
This command typed into the MicroStation Command Window changes records that
have been locked in the transitional state (white icon) to its previous state
(checked in or checked out).
COMPACT UTILITY
This utility is a command line utility that must be executed from the
meta data directory. The compact utility resides in the BIN sub directory
under the DML product directory. The compact utility takes the meta data
directory as an argument. Example:
F:\ip32\dml\meta> c:\dml\bin\compact .
The compact utility should be used after files have been deleted from
DM/Librarian. When you delete drawings, they are no longer
accessible, but they are still in the database. The compact utility
compresses the meta data so that deleted drawings are no longer in the database.
When you run the compact utility, there should not be any activity on the
database because the storage area may become corrupt. The compact utility
can be a time consuming process and suggested it be done at night.
The following procedure must be used to delete a folder:
1. Delete all drawings in the folder.
2. Run the compact utility to compress the meta data for the files.
3. Delete the folder.
NOTE: After you deleted a design file that has reference files attached.
You have to run the compact utility before you can delete these
reference files.
